Depot Kiosk

The Depot Kiosk is a self-service kiosk — usually a tablet installed at the entrance of the depot — that lets anyone (volunteer, driver...) log their own pickup and return of a vehicle or a radio (walkie-talkie), with no account or internet connection needed. It gives logistics a live view of what is checked out, by whom, and since when.

No overlap with vehicle assignment

The Depot Kiosk tracks who physically has the keys in hand, right now — this is complementary to the planned assignment of a vehicle (fixed, time slot, pool), which organizes in advance who is meant to use what.

The kiosk (tablet side)

  1. Take a vehicle: the person enters their name (autocompleted from people already known on the edition, to avoid duplicates caused by typos), and chooses one or several available vehicles. If a specific license is required for a vehicle (B, C, trailer, forklift operator, aerial platform, crane...), a photo of the license can be taken — it is only requested again if no license is already on file for this person on the current edition.
  2. Return a vehicle: select the vehicle, with the option to add a damage note — which automatically triggers an incident of type "Damaged" attached to the vehicle, to be handled by logistics.
  3. Take a radio: enter the name, choose an available radio (identified by its serial number) and the accessories taken (battery, charger...).
  4. Return a radio: select the accessories actually returned; missing accessories remain tracked on the checkout. The radio can also be reported lost or broken.

The kiosk displays the number of available vehicles and radios live, and updates automatically.

Live tracking

From the Live tab of the Depot Kiosk (logistics side), everything currently checked out is displayed with the time elapsed since pickup, using a color code: green (under 3h), orange (under 7h), red (beyond). If something is forgotten, the logistics team can force a return directly from this screen.

People and history

  • People: a directory of everyone who has taken equipment on the current edition (vehicles and radios combined), with their contact details, the number of checkouts, and what they currently have in hand — searchable by name or phone number.
  • Driver history / Radio history: for a given vehicle or radio, find out who had it at a precise date and time, as well as the last 50 checkouts. A driver's license photo can be revealed on request (every view is tracked).
License photos kept for a limited time

Driving license photos are automatically deleted after a configurable period (30 days by default) — see Settings below.

Reported damage

Damage reported when a vehicle is returned creates an incident, visible in this tab as Pending until verified. Marking it as verified automatically resolves it on the Incidents side — this action is reserved for the logistics coordinator, unlike the rest of the Depot Kiosk, which is also accessible to their assistant.

Settings

  • Designate which catalogue product corresponds to radios (tracked individually by serial number).
  • Choose the radio accessories available at the kiosk (batteries, chargers...), drawn from the catalogue — their available stock is shown live.
  • Set the retention period for license photos (1 to 365 days).
  • Generate, redisplay or revoke the tablet's secret link (with QR code) — revoking immediately cuts off access for the old tablet.
