Budget & Sponsors
Budget
Each sector has a budget tracked automatically across four amounts:
- Allocated: the budget assigned to the sector.
- Forecast: estimated from ongoing requests, as well as orders still in draft (created but not yet confirmed).
- Committed: corresponding to orders confirmed with a supplier — a draft order counts toward the forecast until it is confirmed.
- Paid: corresponding to settled invoices.
- Sponsored: the portion covered by sponsor contracts (see below).
These amounts are recalculated automatically with every change to a request, order or invoice — you never edit them directly.
On the logistics side, only the coordinator can set a sector's allocated budget; the assistant can only view it. The Treasurer role also has this right by default, and the organization administrator can grant it to another role (see Who can do what).

Sponsors
A sponsor contract can be one of three types:
- Cash: direct financial contribution.
- In-kind: equipment or services provided directly by the sponsor.
- Coverage: covering part of the logistics costs.
Each contract has a total amount and an amount already used; an allocation links a sponsor contract to a specific order, to precisely track what each sponsor funded. On the logistics side, only the coordinator can create a contract or allocate it to an order — as can the Sponsor manager role, whose function this is.
