Invoicing
The Invoicing module tracks supplier invoices, from receipt through to payment, and lets you reconcile them against the corresponding orders.
Lifecycle
| Status | Description |
|---|---|
| Received | Invoice recorded in TriLog |
| Checked | Reconciled with the order, consistent |
| Disputed | A discrepancy was found with the order or the receipt — a dispute is open |
| Approved | Validated for payment |
| Paid | Settled |
Orders and quotes are expressed excluding tax (net). VAT only appears at the invoice level — invoice/order reconciliation and budget tracking are done net of tax.
Who can do what
Processing an invoice (checking, disputing, approving, marking as paid) is reserved for the logistics coordinator — the assistant can only view invoices.
| Action | Logistics coordinator | Logistics assistant |
|---|---|---|
| View invoices | Yes | Yes |
| Check, dispute, approve, mark as paid | Yes | No |
Document customization
An organization administrator can customize the appearance of invoices (and invoice reminders) generated by TriLog — logo, layout, notices — and attach a letterhead to them (a reusable page background, applied the same way to other documents such as purchase orders).
Invoice numbering is also configured at the organization level, but remains indicative: a supplier invoice's number is the one provided by the supplier and entered on receipt — the series is only used as a tracking reference (unlike purchase orders, which are numbered automatically by TriLog).
Where to find it
From the Logistics space, Invoicing section. A disputed invoice can be tracked via its associated dispute, until resolution with the supplier.
